My Life in Bolton terms and conditions for service providers and privacy notice
Summary
Bolton Council has created My Life in Bolton to provide information to all residents about what local services are available to help them. It also helps you to promote your services, core activities and events. To make this work we need you to give us information about your services which we will publish on the internet, on the Bolton schools learning platform, through our quarterly printed guides, in National databases such as the Family Information Directory (FIDy), National Places to Go and Things to do directory (PLINGS) and in major social networking environments.
The attached Terms and Conditions document tells you more about how we will use the information you provide and it asks for your consent to do this.

Data Protection Act
Some of the information in the Directory is personal data such as name, contact details and the services offered by individuals who provide services. The Data Protection Act 1998 governs how personal data can be used. Under the Act Bolton Council is the ‘data controller’ which means that we are responsible for how that data is managed in the Directory.
These terms and conditions are a ‘privacy notice’ for the purposes of the Data Protection Act. This means they explain how we will use your personal data so that you know that we are using it fairly and lawfully.
You can see how your information appears to the public by looking on the My Life in Bolton Tab on the Council’s web site www.bolton.gov.uk following publication, you can also see a preview from the application itself prior to publication.
Consent
Please read this document and then if you agree to these terms and conditions please click the check box on the registration screen. We cannot publish any of your information if you do not agree with these terms and conditions
You can withdraw your consent for us to use your personal data by writing to us or emailing the data custodians from within the application. This means that your information will no longer appear in the Directory.

Purpose of the Directory
The Directory is intended to help residents and visitors and other people looking for local services to find out exactly what is available and where. It includes information about services for children and families; it is part of our duty under the Childcare Act 2006 to provide information to parents and children about services that will help them. It also holds details of other personal services and support available to adults. The information in the Directory is published and shared with other information providers and so it helps you to promote your service to the widest possible audience.
By clicking on the check box on the registration screen and providing information to the Directory you are authorising us to use and publish that information as described in these terms and conditions.
How we will use the information
We will use the information you give us to help people to find the information they need, to promote your services, to assess whether there are enough of the right services locally, and to contribute to government initiatives to provide local information services.
We will decide whether the services you provide are suitable for inclusion in the Directory and we reserve the right to exclude entries that are not relevant or appropriate.
We will make the information you provide about your services available to enquirers by telephone, post, fax, email, in printed materials and in face to face discussions and we will publish it on the internet on our website. To ensure that it reaches everyone that needs it, we will also make it available to other appropriate websites and any digital TV pages run by Bolton Council and other local authorities, Government and authorised partners including, but not limited to:
We will not pass the information to commercial organisations for marketing purposes.
Security
We will keep any personal data you give us secure. We will protect it against any unauthorised use and ensure that it is not shared with people who should not have access to it.
Providing information to the Directory
The Directory will only be as good as the information it contains. Please ensure that the information you supply is accurate and complete. Bolton Council is not responsible or liable for the accuracy of information supplied by service providers.
If you are inputting details on behalf of someone else, you must ensure that you have their permission to pass their details to us. This is particularly important if you are giving details such as a home address or personal phone number.
If you upload any pictures that identify individuals you must ensure that you have their consent to do this.
Bolton Council reserves the right to edit and amend the details you provide as appropriate in order to make them more helpful to users. We may also decide not to include details of services that are not relevant. We may contact you to clarify the information you have provided if it is not clear.
Publishing your details
Publishing information on the internet means that it can be seen by anyone in the world. Please be aware of this if you are providing a mobile phone number or a home address in the contact details for an event or service.
Keeping it up to date
For the Directory to be useful the information it shows needs to kept up to date. It is your responsibility to maintain your information so that it is always accurate. If your contact details or the details of your services change, please update them on the Directory as soon as you can. We will contact you regularly to check that your details are correct. If we do not hear from you after that we will be obliged to delete your details from the BSD, but we will advise you of this beforehand.
There are computers in all our libraries and UCAN centres where internet access is provided for free use; if you do not have access to a computer and the internet from home then please contact your nearest available resource.
Feedback
People who use the services in the Directory will be able to give feedback on those services and rate them. Ratings will be shown on the website. As a service provider you will also be able to log in to see feedback comments. Feedback will be monitored to exclude any inappropriate or abusive comments and any personal data.
Copyright
You may own the copyright or similar rights in some of the information you give us. For example, you may give us some text describing your services that is taken from your website or publicity materials. By signing the consent form you are agreeing that Bolton Council can store, reproduce, publish and share this content for the purposes of the Directory as described in these terms and conditions.
